Brand Guidelines & Systems

Brand guidelines and design systems that make your identity easy to use everywhere

Bringing structure and clarity to your brand

At Yoyo Design, we design brand guidelines and design systems that turn an identity into something a whole organisation can actually use. Whether we are documenting an identity we have designed ourselves or bringing structure to one that has been in place for years, the goal is the same. Clear, usable, consistent brand execution across every team and every touchpoint.

Brand guidelines do not fail because the design is bad. They fail because the document sits in a folder, the wrong pages get referenced and the actual work gets made without them. Our brand guidelines design and systems work is built to be picked up and used, not admired. We work across the spectrum, from concise digital-first brand guidelines that give small teams what they need, to comprehensive brand books, interactive guidelines and full design systems for larger organisations with distributed teams and multiple agencies. The right shape depends on how your brand actually gets applied.

We offer this work as a standalone service and as the natural follow-on from brand identity or design projects. As a Registered Umbraco Gold Partner with in-house brand, UX, design and development teams, we can build the guidelines and the digital tools that make them genuinely usable, the design system components, the asset libraries, the searchable digital brand hubs.

Why do most brand guidelines end up unused?

The most common reason is format. A 100-page PDF nobody can find, referencing rules nobody remembers, in a tone written for design agencies rather than the actual audience, marketing managers, PA teams, external suppliers and junior designers on their second week. Good guidelines meet those people where they are.

The second reason is scope. Guidelines that try to document every possible use case end up documenting none of them well. Guidelines that document only the essentials leave too much open to interpretation. The right balance is specific to how the brand actually gets used, and we scope guidelines against that reality rather than a template.

Guidelines and systems that earn their place are structured for the way people actually work, updated as the brand evolves, and paired with the assets, templates and enablement to make application easy. That is the difference between a brand book that lives on a bookshelf and one that is open in a tab every day.

Helping organisations make their brand actually usable

We start with who applies your brand today, where it is going wrong and what tools they actually use, not with a design template. Then we work back to the guidelines, systems and enablement that will fix the specific problems.

We shape every guidelines and systems engagement around:

  • Guidelines that meet users where they are - Built for the marketing managers, agencies and internal teams who will actually apply the brand, not just the design leadership signing them off.

  • Right-sized documentation - Concise where concise works, comprehensive where the brand is complex, never bloated for the sake of it.

  • Design systems that work in practice - Component libraries, patterns and rules that keep digital work consistent without slowing designers or developers down.

  • Digital brand hubs where they add value - Interactive, searchable guidelines and asset libraries for organisations where a static document will not cut it.

  • Templates and assets for the day to day - Social templates, presentation templates, letterheads, whatever your teams reach for most.

  • Rollout that sticks - Guidelines paired with training and enablement so the launch actually changes what gets made.

The aim is brand consistency your teams achieve without thinking about it, rather than compliance you have to police.

Our brand guidelines and systems services

Guidelines and systems work looks different for every organisation. Our offering focuses on the four shapes we see most often, and we will tell you honestly which one is right for your situation.

Digital brand guidelines

Concise, digital-first brand guidelines built for small-to-mid teams and organisations who need clear rules without the weight of a full brand book. Covers logo usage, colour, typography, tone of voice, imagery and application principles, delivered in a format your team can find, share and update.

Comprehensive brand guidelines

Extensive brand documentation for organisations with complex needs, multiple sub-brands, distributed teams, international rollout, high-frequency campaign activity or heavy external agency use. Covers everything in the digital guidelines and adds detailed application rules, motion and photography direction, verbal identity depth and sub-brand architecture.

Design systems & component libraries

Design systems for digital products and websites, the components, patterns and rules that keep digital work consistent while letting teams move quickly. Built to be usable in Figma and reflected in code, so designers and developers work from the same source of truth. Distinct from static brand guidelines, and often the right answer for organisations with active digital roadmaps.

Brand rollout & team enablement

The practical work that gets the identity actually adopted. Working sessions with your team, external supplier briefings, template libraries, launch collateral and post-launch support. Useful whether we designed the identity or you did, and especially valuable when the rollout has to reach teams and suppliers who were not part of the design process.

Industries we partner with

We work with B2B businesses, charities, membership organisations, professional services firms, financial services and product-led brands. The common thread is a brand that has to be applied consistently across a distributed set of teams, agencies and channels, where getting the guidelines and systems right saves everyone time and stops the brand from drifting.

That spans organisations with new identities that need to be rolled out well, established brands whose existing guidelines have stopped working, financial and professional services businesses with strict consistency needs across regulated communications, and product-led brands whose digital estate has grown faster than the design system supporting it. Examples of our brand guidelines and systems work include:

  • Kurtosys for interactive brand guidelines and an AI-integrated expressions library that lets a growing business self-serve consistently.

  • Vintner for a brand identity brought to life through a Shopify site that used the brand guidelines to inject personality and playfulness into the purchasing experience.

  • J.P. Morgan for Digital Brand Guidelines that gave the client's digital team and partners a consistent UX framework.

If your identity is only as consistent as the last person applying it, we have probably worked through the same shape of problem.

Delivering your brand guidelines and systems

Guidelines and systems work is most useful when it is built around how the brand actually gets used inside your organisation, rather than around what a design agency thinks should be documented. We shape the engagement around the real users first.

  • Discovery - Who applies the brand today, where it is going wrong and what tools and formats they actually use.

  • Scope and structure - Agreeing what needs to be documented, at what depth and in what format.

  • Content and design - Writing, art directing and designing the guidelines or system itself.

  • Digital delivery - Where relevant, building the interactive guidelines, brand hub or design system in the platform of your choice.

  • Rollout and enablement - Working sessions with your teams, briefings for external suppliers and the practical support to launch it well.

  • Ongoing evolution - Guidelines and systems age. We can maintain them or leave you with the structure to do it yourself.

You end up with guidelines your team actually uses, not just a document your design lead signs off.

Brand guidelines and systems credentials

Yoyo has designed brand guidelines and systems for organisations ranging from national charities to global financial services businesses. That range matters because guidelines for a 20-person mission-led team need to look and behave differently from guidelines used by hundreds of stakeholders and multiple agencies. We scope to the reality.

As a Registered Umbraco Gold Partner with in-house design, UX and development capability, we can also build the digital tools that guidelines increasingly live inside, interactive brand hubs, asset libraries, integrated design systems. That combination matters because static guidelines are becoming less useful the more distributed teams get.

If your guidelines and system are part of a wider brand identity build, our Brand Identity Design work handles the identity itself, and this work is the natural next step. If you already have an identity and need it made usable, we can pick up from there.

Why choose Yoyo to help create your brand guidelines?

Yoyo brings brand design craft, digital delivery capability and a genuine focus on what makes guidelines and systems actually get used. We are less interested in producing the most beautiful brand book and more interested in producing one that people open every day.

We have a track record of award-winning work with a client mix spanning B2B, charity, membership, financial services and product-led brands. Whether you need concise digital guidelines, a comprehensive brand book, a design system or the enablement work to roll it all out, we can shape the engagement around what your organisation actually needs.

FAQs

What is the difference between brand guidelines and a design system?

Brand guidelines document how the brand should look, sound and behave across all channels, logo, colour, typography, tone of voice, imagery and application rules. A design system focuses on digital products and websites specifically, reusable components, interaction patterns and code libraries that keep digital work consistent while letting teams move fast. Many organisations need both.

Do we need comprehensive guidelines or will something concise do?

It depends entirely on how your brand actually gets used. Small teams with a tight scope often work better with concise digital guidelines. Organisations with distributed teams, multiple agencies, complex sub-brand architecture or high campaign volume usually need comprehensive documentation. We will be honest about which is right for your situation rather than overselling.

Should our brand guidelines be a PDF or something interactive?

Increasingly, interactive. A PDF is still fine for organisations that do not update the brand often and have a small internal audience. For larger organisations with active brand use across teams and agencies, an interactive brand hub tends to work better, searchable, always current, easier to link to and share. We can build either.

Can you create brand guidelines for an identity you didn't design?

Yes. A significant proportion of our brand guidelines design work is on identities designed elsewhere. We treat that as its own discipline, understanding the existing intent, documenting it accurately and, where necessary, tidying up inconsistencies that have crept in.

Do brand guidelines cover written tone of voice as well as visual?

Yes. Verbal identity, tone of voice, language principles, key messaging and terminology are documented as thoroughly as the visual identity. Written brand consistency matters as much as visual consistency and is often where inconsistency creeps in first.

How do you help our team actually use the guidelines?

Through rollout and enablement work. That can include working sessions with your internal team, briefings for external suppliers and agencies, launch collateral and post-launch support. Guidelines only work if the people applying the brand know how to use them and where to find them.

What if we have brand guidelines already but they are not being followed?

That is a common starting point. The problem is usually format, findability or fit rather than the guidelines themselves being wrong. We can audit what you have, work out why it is not being followed and reshape it. That might mean a lighter interactive version, updated templates, better enablement or a full redesign of the document.

Can you turn our guidelines into a proper digital brand hub?

Yes. This is becoming more common. Instead of a static PDF, we design and build a digital hub where guidelines, templates, assets and application examples live in one place, searchable, versioned and easy to update. Especially useful for organisations with distributed teams or multiple agencies applying the brand.
